Hybrid to Virtual Conference
Potential restrictions could mean that the Hybrid Conference is pivoted to a virtual only Conference.  This would mean that all Delegates, Sponsors and Exhibitors would attend the Conference via the Virtual Conference Portal. Attendance records for in-person delegates, sponsor & exhibitors including your name and contact details may be available to Public Health officials should they so request.

Changes & Cancellations
All changes and cancellations to registrations need to be made in writing to the Conference Managers. Do not submit another registration.

REGISTRATION
Registration Cancellation Policy – Full Conference and Day Registrations In-Person
Registration can be transferred to another person. Please forward all details in writing to the Conference Managers.

  • For any cancellation of in-person registration will result in transfer to the equivalent virtual Conference registration.

Registration Cancellation Policy – Full Conference and Day Registration Virtual
Registration can be transferred to another person. Please forward all details in writing to the Conference Managers.

  • For any cancellation of virtual registration, the full registration fee will be non-refundable.

Converting Registration to Virtual or In-Person Registration
Registration can be converted at any time up until the Conference to the equivalent for both In-Person to Virtual Registration.  Please contact the Conference Managers in writing of any change.

Registration Upgrade from Day Registration In-Person or Virtual to Full Registration In-Person or Virtual
Registration can be upgraded at any time from Day Registration In-Person or Virtual to Full Registration In-Person or Virtual.  The cost to upgrade will be based on the original registration date.

Registration Acceptance Policy
Registrations will not be considered confirmed until full payment is received.

Registration Cancellation Policy – Master Class
Registration can be transferred to another person. Please forward all details in writing to the Conference Managers.

  • For any cancellation of registration between 180-150 days of the Conference, the registration fee will be refunded less a $30.00 administration fee.
  • For any cancellation of registration between 150-90 days of the Conference, the registration fee will be refunded less a $50.00 administration fee.
  • For any cancellation of registration within 90-45 days of the Conference, the registration fee will be refunded less a $75.00 administration fee.
  • For any cancellation of registration within 44-0 days of the Conference, the full registration fee will be non-refundable.

WELCOME RECEPTION
Inclusive Welcome Reception Tickets can be transferred to another person. Please forward all details of transfer in writing to the Conference Managers.

  • For any cancellation of inclusive Welcome Reception Tickets, no amount will be refundable.
  • For any cancellation of additionally purchased Welcome Reception Tickets within 14-0 days of the Conference, the Welcome Reception Ticket fee will be non-refundable.

CONFERENCE DINNER
Conference Dinner Tickets can be transferred to another person. Please forward all details of transfer in writing to the Conference Managers.

  • For any cancellation of Conference Dinner Tickets within 14-0 days of the Conference, the Conference Dinner Ticket fee will be non-refundable.

ACCOMMODATION
Accommodation Booking Policy
In order to secure your accommodation booking, your credit card details will be supplied to the Hotel via our secure Credit Card Vault as a booking guarantee. Refer to the Conference Website to see if the Hotel will charge any amount prior to arrival. 

Accommodation Pre-Payment
You may wish to pay for all nights’ accommodation at time of booking – please contact the Conference Managers to make arrangements. Credit card surcharge may apply.

Debit / Credit Card / Cash Deposit on Check-In
A cash deposit or Debit / Credit Card hold may be placed on your card for the full anticipated amount to be owed to the hotel.  This may include estimated incidentals, through your date of check-out.  This hold may not be released for 72 hours from the date of check-out or longer at the discretion of your card issuer. This pre-authorised amount is set aside by the card company and will affect the available funds balance or spending limit on the card. The amount requested by the Hotel / Apartments varies according the each individual Hotel / Apartment conditions. If you wish to confirm the actual amount, please contact the Hotel/Apartments directly.

Third Party Credit Card Payment (Card Holder NOT Present)
Where the credit card holder will not be present at check-in, a Third Party Credit Card Form will need to be completed for each accommodation booking. Visit the accommodation section of the website under each Hotel / Apartment for their relevant form.

Credit Card Surcharge
All Hotel / Apartments charge a surcharge for credit card payments. These charges vary - as a guide, the current rate charged by the Hilton Darwin is 1.5% (subject to change without notice). If you wish to confirm the actual amount, please contact the Hotel / Apartment directly.

Minimum Night Stay
Some Hotel / Apartments have a minimum stay requirement and nightly room rates may vary. The Terms & Conditions for each Hotel / Apartment are detailed on the Accommodation section of the website.

Accommodation Cancellation Policy
For any rooms cancelled up to 14 days prior to arrival, an administration fee of $33.00 will apply. For Hotel / Apartment cancellation charges, please check the Conference Website under Accommodation Terms & Conditions.

Accommodation Changes
Accommodation can be transferred to another person. Alterations to your accommodation booking will not be accepted over the telephone. All amendments must be made in writing. For individual accommodation booking changes, an administration fee of $33.00 will apply to each change. Cancellation of accommodation is considered a change.

Accommodation No-Show Policy
All non arrivals to the Hotel / Apartment on date of check-in the full amount of accommodation booked will be charged.

REFUND POLICY
Refunds will be made in line with the Conference Terms & Conditions. No refunds will be made for non-attendance at the Conference.

SPONSORSIHP & EXHIBITION
Sponsorship Cancellation Policy

  • Any Sponsorship cancelled more than 150 days from the Conference will incur a 50% cancellation fee.
  • Any Sponsorship cancelled within 150 days from the Conference will incur a 100% cancellation fee.

Exhibition Cancellation Policy

  • Any cancelation after the Exhibition Registration booking is received by the will incur a cancellation fee equal to 50%.
  • Any cancelation within 150 – 120 days of the Conference will incur a cancellation fee equal to 75%.
  • Any cancelation within 120 days of the Conference will incur a cancellation fee equal to 100%.

Exhibition Space Allocation
Exhibition Space are allocated in the first instance to Sponsors and then as assigned by Conference Committee.

PAYMENT
On completion of your Booking, you will receive a Booking Confirmation email and a Tax Invoice.  All amounts listed are in Australian Dollars (AUD), inclusive of GST and is to be paid within 14 days of invoice.

International Payments
International payments must be in Australian Dollars (AUD) and paid by Credit Card or International Money Transfer and free of all charges. This detail will be listed on the Tax Invoice.

Currency and Tax
Unless otherwise specific, all fees and costs are in Australian Dollars (AUD) and include Australian Goods and Services Tax (GST) of 10%.

Credit Card Payments
Please note, payments by Credit Card will appear on your Credit Card statement as ACCYPN.

INSURANCE
Registration fees do not include personal, travel, cancellation or medical insurance of any kind.  Delegates, Sponsors & Exhibitors are advised to make your own insurance arrangements to cover these and any other risks.

FORCE MAJEURE
Delegates, Sponsors & Exhibitors shall have no claim if the event is cancelled, interrupted or fails to proceed as planned due to a force majeure event such as but not limited to war or act of war, act of terrorism, riot, fire, extreme weather event, earthquake, pandemic, strike, lockout or other force majeure event.

PHOTOGRAPHY & RECORDING
Photographs and recordings taken by Conference Committee Members and / or Conference Manager will appear in social media and in event and College related media during and after the event.  If you do not wish to appear in such images or recordings, please advise the staff during check-in at the Conference. The College and Conference Managers cannot be held responsible for images and recordings taken by any persons other than Conference Committee Members and the Conference Managers.

Recording for Registered Delegates Post-Event
All sessions including Q&A may be recorded and made available to registered Delegates after the Conference.
